Accounting Services
For those communities who choose our Financial only services we provide:
* Monthly HOA financial statements prepared for and presented by our in-house CPA, for each community
* all A/R services processed at CMI, with several dues payment options to choose from:
your own Bank Bill Pay, which you set up online between you and your bank – they will send monthly pre designated payments for you.
Pay by check: you write and send by mail your own personal checks. You are in control. You can choose to pay monthly or semi-annually, or yearly,. Please send your personal check payments prior to the 10th of the month and include your payment coupon(s) for the months you are paying. Please pay the entire balance each month, to avoid late fees on “short” payments.
AUTOPAY: you can request to have your dues payments withdrawn monthly by a 3rd party contractor who provides this service for Community Management residents. Send in the AUTO PAY form for your property and attach a copy of your voided check, prior to the 1st day of the month. If received later than the 1st day of the month, your account will not be charged until the following month and you will need to include with your request form, a check to pay for the current month’s dues.
Coming soon– based on Homeowner commitment, we may soon contract with a secure payment processing provider to give you access to making a one-time dues payment online. More details to follow.
*secure bank deposits made to each individual property’s unique bank accounts
*collections services including: late statements, monthly collections calls, certified demand letters and liens, A/P legal counsel at a discounted rate for needed services
*A/P services: monthly preparation of checks for payments to vendors/contracted service providers, utilities, etc
*Appropriate records maintenance including ledger history for all homeowners past and present for each property, A/P payment histories, tax and legal records
* yearly tax return preparation and filing for each property, as well as state licensure
*Other services such as : Newsletters, annual meeting and other notifications, monthly board meeting preparation and attendance, Annual meeting preparation, retention of all documents regarding these meetings, as well as appropriate methods of notification, preparation and , conducting such meetings and providing training and insight for property board members.
TAXES AND LEGAL:
*We provide tax filing and business license renewal services for your property,
*We provide collections services including filing and release of liens against defaulted homeowners
*monthly collections attempts on past due balances
*legal services for debt collections, suites, other legal issues in regard to preserving the integrity and homeowner compliance
*legal services may be obtained through CMI at a discounted rate due to our volumn “buying power”.
